    The Office Manager works closely with the General Manager to manage day-to-day operating responsibilities for their office.  This role is responsible for many of the financial operations of the office including accounts payable and receivable and payroll and expense report oversight.

    Responsibilities

    • Administer the Company personnel policies within the facility
    • Coordinate with the appropriate personnel all the pre-employment testing required
    • Provide orientation to benefits, computer system and personnel policies
    • Prepare and submit biweekly hours report for payroll to the Employee Services Department
    • Actively participate in facility Safety Committee
    • File all accident/incident reports
    • Coordinate workers compensation program with the Risk Manager
    • Directly supervise office personnel
    • Oversee all accounting functions for the facility
    • Balance ledger accounts including bank reconciliation, inner-company cash transfer account, promotional account, house operation accounts, cash account and prepaid accounts.
    • Maintain and do a monthly reconciliation of the petty cash account
    • Figure monthly, quarterly and yearly commissions and submit for payment.
    • Monitor all freight for opportunities to bill customers.
    • Monitor COGS for errors, commission adjustments and freight.
    • Keep track of all assets.
    • Oversee Unavailable inventory and follow proper protocol to minimize unavailable inventory
    • Prepare monthly financial reports relating to open invoices, purchase orders
    • Obtain and supervise repair and maintenance contracts for equipment
    • Responsible for building maintenance
    • Obtain and supervise repair and maintenance contracts for the building
    • Responsible for building security
    • Set up new employees on security system
    • Other duties as assigned by the General Manager

    Qualifications

    • Bachelor's degree or equivalent experience
    • Computer proficiency in Microsoft Office Suite and the ability to learn First Supply LLC’s  business system
    • Experience in accounts payables and receivables required
    • Experience managing multiple priorities
    • Ability to effectively communicate verbally and in written format with customers, vendors and employees
    • Ability to perform effectively in matters that require attention to detail
    • Ability to effectively negotiate and response with appropriate social skills
